Password Protection of Financial Records - You may need a password to access the files connected to the buttons below. This is only true if the password for the financial records has been changed. To learn more about password protecting your financial records click here.

Church Membership Keeper allows you to keep track of financial contributions made to your ministry and print reports and statements for your members. To get to the financial reports:

  1. Click the "Report" button in the button bar.
  2. Click the "Financial Reports" button.

The buttons above and what they do:

Enter Financial Contributions - Opens a layout with a portal to the related "Pledges" file. On this layout you can enter the details of monetary contributions made to your church by members. The portal looks like this:

Note that you do not have to enter a Date of Pledge, Amount of Pledge or a Pledge Fund.

  1. Date of Pledge - If your church uses pledges as a means to generate and record income use the pledge buttons to create reports. Enter the date of the pledge, if any. You do not have to enter a date, however, if you print from a "Pledge" report the date field is empty. This is not a problem if your church does not use a pledge system. You will be able to print reports that show the "Date of Contribution" and "Amount of Contribution" without problems.
  2. Amount of Pledge - If you use a pledge system enter the member's pledge for a specific fund in this field.
  3. Date of Contribution - Enter the date for each contribution received related to this specific pledge.
  4. Amount of Contribution - Enter the amount of the contribution corresponding to the date.
  5. Pledge Fund - Designate the fund for the pledge or contribution. Use "General Fund" for undesignated contributions.
  6. Total Contribution to date - This field keeps a running total of contibutions related to the specific pledge.
  7. Completed - Indicates if the pledge has been completed or not. When no pledge amount is entered then this field automatically indicates "Yes."
  8. Details - Opens the "Pledge" file and shows all the contributions related to the current record.

Note: If you want to print a report of all contributions and their dates select the "Print Financial Reports" button and then click appropriate the button.

Enter Special Gifts & Donations - CMK also allows you to enter non-monetary gifts given to the church. Such items may include clothing, food, automobiles, etc. Clicking on this button will open a layout that allows you to enter such gifts into a portal which connects to the related record "Gifts." See below for a description of the fields.

  1. Date of Gift - Enter the date the gift was given.
  2. Description of Gift - Enter an accurate description of the gift. Note that the IRS requires an accurate description of non-monetary contributions. "Car" is not sufficient. You should enter the make, year and model of a vehicle.
  3. Value of Gift - Enter the value assigned to the gift. The church may assign a value or the donor may suggest a value. Please note that the IRS frowns upon excessive valuation of non-monetary contributions. The valuation should be based upon the fair market value of the donation, i.e. the amount the donor would receive for the item if he sold it on the open market.
  4. Person Giving Valuation - A monetary valuation should be assigned to the gift. See "Value of Gift" above for more details about setting the value.
  5. Notes on Gift - Enter any further notes about the gift. This may include any special instructions or how the gift was disposed of or the basis for the valuation.
  6. Details - Opens the related "Gifts" file which allows you to view the details of the gift.

Print Financial Reports - The following buttons print the files and reports that make up the financial component of CMK. Contributions print across two columns on an 8.5 in. x 11 in. page. Pledges will either print across two columns or in a single column.

All reports have the following IRS required statement printed on them, "No goods or services have been provided to this donor in consideration for contributions made to this church. Only an intangible religious benefit was furnished." The IRS requires a receipt for any single contribution equal to or greater than $250.00. The financial statements generated by CMK meet this requirement as long as the date(s) and amount of contribution(s) are listed.

Click on a button or see below for the descriptons of reports each button prints.

  1. Contributions List - Click this button to print a report showing contributions given during a specific period by a member for each pledge fund. Follow the directions in the related pledges file (see below).

    Note that this report prints down the page in three columns. It includes the range of dates and the date the report is printed. Also included are the sum totoal of the contributions and the IRS required statement.

  2. Contributions General Report - Prints a report showing all contributions given by a member or members (see Table below) depending on the current found set as defined by you in the related file (see below). This report is primarily designed for interanl use by the organization and not for distribution to members as an IRS approved statement.

    Note that you do not have to enter a Date of Pledge, Amount of Pledge or a Pledge Fund. The Total Contribution is automatically calculated. The program also automatically determines if the pledge has been completed.

  3. Contribution Detail Report - Prints a report showing each contribution, its date and its pledge fund if applicable for each member in the current found set as defined by you in the related file (see below).

  4. All Pledges - Prints a report of all pledges whether they are completed or not.

    This report prints down the column first and then moves to the second column and again prints down the column.

  5. Pledges Not Completed - Prints a report of all pledges that have not yet been completed.

  6. Pledges Completed - Prints a report of all pledges that are completed.

  7. All Pledges (Columnar)- Prints a report of all pledges whether they are completed or not in a column.

  8. Pledges Not Completed (Columnar)- Prints a report of all pledges that are completed in a column.

  9. Pledges Completed (Columnar)- Prints a report of all pledges that are completed in a column.


Return To Details - Click this button to return the the "Personal Information" layout in Church Membership Keeper.

Related Files

After clicking on one of the buttons described above a related record opens (either Pledges or Gifts). Upon opening the following screen will appear. Follow the directions as presented on the screen.

  1. Be certain that you format the date as shown or your search will fail.
  2. If you would like to find the records for a specific person enter the name into the "Lookup" field. Leaving the "Lookup" field blank will result in CMK finding all records between the specified dates. Note that the "Lookup" field requires that the full name be entered to accurately find the desired records. To help in this process CMK automatically includes every member with an existing record in the file in a drop down menu.
