Personal & Family

This layout is at the heart of CMK. The more complete the data on this layout the more powerful CMK will be.

Identification Fields

  1. Personal Contact - If you create a record for a person who is not a member you may wish to mark it as Personal Contact. Mark the Personal Contact box so that you can quickly find them or exclude them from the current found set.

  2. Business Contact - Churches often have relationships with various businesses that provide services for them. You can create a record for such businesses. Mark the Business Contact box so that you can quickly find them or exclude them from the current found set.

  3. Serial # - CMK automatically creates a serial number for each record in your file. You cannot change this number but you can search on it.

  4. Parent ID# - This number is automatically generated by CMK. You cannot change it but you can search on it. The Parent ID# is used to create the parent to child relationship in CMK.


Personal Data Fields

  1. Include in Mailings - Indicate if you want to include the current record in all mailings you send out by default.

  2. Include in Directories - Indicate if you want the current record included in all directories by default.

  3. Salutation, First Name, etc. - Enter the data requested. It is used throughout CMK to generate reports, labels, etc.

  4. Phone Fields - Enter phone numbers in any format you choose. It is important to set the dialing preferences.

  5. Email - Presently, this works on Macintosh computers only.

  6. City, State & Zip - The City and State fields are drop down fields that can be edited. When you tab into the field it will drop down. You must click on an existing city/state or click a second time in the field to type in a city/state. If you would like to edit the list select "Edit" from the bottom of the field and enter a new city.

  7. Social Security No. - For IRS purposes you may request and enter the member's Social Security Number. By law this number can only be used for tax reporting purposes.

  8. Favorite Scripture - Enter the member's favorite scripture passage. Clicking the toggle button will open the Favorite file into which you can enter more data that may be helpful when planning special events or funerals. Click here to learn more about using the Favorite file.

  9. Emergency Contact Information - These fields provide space to store contact information for the member in case of an emergency.

  10. Copy Label - The example label to the right of this button shows the member's information exactly as it will appear on labels and envelopes. Click the button to copy the data to the clipboard from which you can then paste it into another application.

  11. Picture - CMK allows you to paste pictures of members into the file. Note that pictures will increase the file size considerably.


Marrital Status (Married)

  1. Marrital Status - When the record is that of a married couple check the "Married" radio button. This activates the "Marriage Status" portal into which you will enter further data about the couple.

  2. Anniversary - Enter the couples anniversary. The date must be in a recognizable date form such as 8/12/1998.

  3. Years Married - This is an automatic calculation.

  4. Individual Information - Enter the individual details for each couple as shown. The toggle button will open the individual records in the "Related" file which contains the same fields as CMK's main file so that you can store data about the individual spouses without creating multiple records in CMK's main file.



Marrital Status (Other)

  1. Marrital Status - Mark the appropriate radio button for the individual member.

  2. Birthday - Enter the member's birthday. The date must be in a recognizable date form such as 7/22/1980.

  3. Age - This is an automatic calculation.

  4. Gender - Indicate the member's gender.


Related Family Records

  1. Family ID#1 - The Family ID#1 should be used to link immediate family members only. It is used to relate children to parent(s). Any record sharing this number will have any children listed in the Children portal appear in its directory listing.

  2. Church Membership Keeper - This portal will show all related records sharing the same Family ID#1 number. Click the toggle to view or edit the related record.

  3. Children - This is a portal that shows data from the related Children file. Follow these steps for each child for which you want to create a related record.
    1. Enter the child's First Name.
    2. link Click on the link button to establish the relationship between the current record and the Children file. The Last Name field will be automatically updated to that of the parent's last name. You can change this in the Children file if it is different than the one automatically entered. You may enter birthdays in this file or in the related file. The ages will be automatically calculated. Note: Children under the age of one year will show an age of 0 until their first birthday.

  4. Extended Family ID#2 - This ID number can be used to relate family members in your database. It is useful if you have several related families in your congregation. Give each of them the same Extended Family ID#2. Each record sharing this number will appear in the portal.
